# Import & Export in Pages

Effortlessly migrate existing documents into Diaflow Pages across 12+ formats, export publication-grade files with preserved styling, and compile internal documentation directly into AI Knowledge Base

## Document Import Engine

Diaflow Pages allows teams to centralize existing documentation, meeting notes, technical specifications, and spreadsheets using a high-fidelity one-step file import system.

### Supported File Formats

Diaflow utilizes two specialized processing pipelines depending on the incoming file type:

| Conversion Pipeline | Supported Formats | Processing Method & Fidelity |
| -------------------------------- | ----------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Direct Structural Conversion** | `.docx`, `.html`, `.md`, `.odt` | Performs full DOM-to-block parsing. Faithfully preserves typography, H1–H3 headings, bold/italic/underline/strikethrough, nested bulleted and numbered lists, complex tables, text alignment, highlight colors, and embedded images. |
| **Text & Data Extraction** | `.pdf`, `.txt`, `.csv`, `.xlsx`, `.pptx`, `.json`, `.xml`, `.srt` | Extracts and structures raw text, tabular data, slides, or subtitle sequences into clean, readable document sections while filtering out binary noise. |
| **Visual Media** | `.png`, `.jpg`, `.jpeg`, `.webp`, `.svg` | Automatically creates a new page with the visual asset embedded as an interactive media block. |

**File Size Limit**: Individual import files can be up to **30 MB** per document.

### Import Workflow & Setup

Follow these steps to import documents into your workspace:

1. Navigate to the Pages dashboard or open any target folder in your workspace sidebar.
2. Click **+ Import** in the top navigation bar, or drag and drop files directly into the page list.
3. **Configure Initial Metadata**:
   * **Destination Folder**: Select the target folder location or keep at workspace root.
   * **Tags & Icon**: Assign category tags and pick an emoji or custom icon.
   * **Cover Banner**: Select a banner from the workspace gallery or upload a custom image (up to 10 MB).
4. Click **Start Import**. The ingestion process executes asynchronously in the background.

### Safe Background Processing & Clean Cancelation

* **Asynchronous Execution**: Imports run as non-blocking background jobs. You can continue drafting pages, querying tables, or editing workflows while large files ingest.
* **Clean Cancelation**: If an incorrect file was selected, click **Cancel** on the active progress toast. The job terminates immediately and cleans up temporary buffers, leaving **no partial or corrupt ghost pages** in your workspace.
* **Automatic Title Deduplication**: If an imported file shares the same title as an existing document in the target folder, Diaflow automatically appends an incremental counter (e.g., `API Spec (1)`) to avoid naming collisions.

## Multi-Format Document Export

Export your Diaflow Pages for external client presentations, executive sign-offs, regulatory archives, or developer portals using the top-level **Export** menu.

### Available Export Formats

Exported documents strictly preserve rich formatting—including nested tables, callout blocks, text highlights, font colors, inline images, code blocks, and alignments:

* **PDF (`.pdf`)**: Produces high-resolution, print-ready documents with paginated layouts, embedded vector typography, and structured page breaks.
* **Microsoft Word (`.docx`)**: Generates standardized enterprise Word documents with editable typography styles, native tables, and styled callout boxes.
* **Markdown (`.md`)**: Exports clean GitHub-Flavored Markdown syntax, ideal for engineering repositories, static site generators, and open-source documentation.
* **HTML (`.html`)**: Generates standalone, responsive HTML with inline CSS styles suitable for web hosting, intranet portals, or email newsletters.
* **OpenDocument Text (`.odt`)**: Compatible with LibreOffice, Apache OpenOffice, and international public sector standards.

{% hint style="warning" %}
**ODT Service Dependency**: Exporting to `.odt` relies on an active LibreOffice conversion service. If this backend service is unavailable in your self-hosted or dedicated environment, the system displays a descriptive notification guiding your administrator to enable LibreOffice container support.
{% endhint %}

### Diaflow Drive Archival & 24-Hour Caching

Every time an export is requested, Diaflow handles file delivery with enterprise storage safeguards:

* **Automated Diaflow Drive Backup**: Completed export files are automatically archived directly into your workspace **Drive** (central cloud storage), creating a permanent historical record.
* **24-Hour Fast Cache**: Rendered export files are cached for **24 hours**. Team members downloading the same exported document within this window receive an instantaneous download without consuming additional processing compute or queue time.
